Accommodation Bookings Terms & Conditions
These terms and conditions apply to the Off Grid Eco-Suites located at Redwood Park, 2640 Paynes Crossing Road, Wollombi (the ‘Eco-Suites’), as well as ‘The Barnstay’ and ‘Soho Suite’ located at 2674 Paynes Crossing Road (the ‘Barnstay and Soho Suite’). Collectively, these are referred to as our ‘Accommodation’.
Booking a room(s) at Redwood Park, Wollombi may be made via phone, email, our website, or an associated booking engine. We may accept or decline a booking request at our sole discretion.
1. Bookings and Payment
1.1 To secure your booking, a payment equal to 50% of your stay is required. We reserve the right to cancel your booking if full payment is not received prior to check-in.
1.2 All rates are quoted in Australian dollars and may change at any time. Any changes after booking confirmation will not affect your booking. Any verbal quote given is an estimate only.
1.3 A 1.70% + $0.30 AUD credit card fee applies to all credit card transactions.
1.4 All prices include GST.
1.5 Any changes or additional items incurred during your stay will be charged on the day of check-out.
2. Transfers
2.1 Guests may change their booking date with at least 60 days’ notice before check-in.
2.2 For date changes between 60 and 15 days before check-in, full payment is required.
2.3 Any date changes must be within six (6) months of the original booking date. Otherwise, our cancellation policy applies.
2.4 Date changes within 14 days of check-in are considered a cancellation.
3. Cancellations
3.1 Cancellations must be made at least 60 days before check-in to receive a refund.
3.2 Cancellations between 60 and 15 days before check-in will forfeit 50% of the total accommodation cost.
3.3 Cancellations within 14 days of check-in or failure to check-in are non-refundable.
3.4 Merchant fees for cancellations made using Visa, Mastercard, or American Express will be recovered.
4. Check-in and Check-out
4.1 Check-in is from 1:00 PM on the date of arrival. Access is via Smart Access, and a PIN code will be sent the day prior to arrival, activated from check-in time.
4.2 Check-out is by 9:30 AM on the departure date. Late departures require prior approval and may incur additional fees. Smart Access will automatically revoke access after check-out unless a delayed departure has been arranged.
5. Number of Guests
The maximum number of guests per room is two (2). We reserve the right to remove any persons exceeding this limit.
6. Parties
Parties are strictly prohibited at all times. Excessive noise and music are not allowed after 10:00 PM. Guests in breach of this policy may be evicted
7. Smoking
Smoking is strictly prohibited inside all Accommodations.
8. Pets
Pets are not allowed.
9. Accommodation
9.1 We provide bed linens, towels, and some toiletries for the duration of your stay.
9.2 Guests must:
(a) Not remove any linens, towels, or toiletries from the Accommodation.
(b) Leave the Accommodation in a clean state.
(c) Follow all reasonable directions from management.
10. Marketing
10.1 By booking, you agree to receive marketing emails from us.
11. Damage
11.1 Any damage to the property or its contents must be reported immediately. We reserve the right to charge for any damage or theft.
11.2 If damage or theft is discovered after your stay, you will be notified in writing and issued an invoice for repair/replacement costs. Payment is required within 14 days.
12. Limitation of Liability & Indemnity
12.1 To the fullest extent permitted by law, we:
(a) Disclaim any implied warranties.
(b) Make no guarantees regarding the reliability or availability of the Accommodation.
12.2 We are not liable for indirect, incidental, or consequential damages, including lost profits, lost data, personal injury, or property damage.
12.3 We are not responsible for service delays or inability to provide Accommodation due to unforeseen circumstances.
12.4 You agree to indemnify us against any claims, liabilities, or losses arising from your stay.
13. Force Majeure
13.1 We are not liable for cancellations or disruptions due to events beyond our control, including pandemics, government restrictions, extreme weather, flooding, or fire.
14. Termination
14.1 If you terminate your booking, we may retain any payments made up to that point.
14.2 We reserve the right to terminate bookings for:
(a) Non-payment of fees.
(b) Unlawful conduct or breach of these terms.
14.3 Termination may take immediate effect.
15. Disputes
15.1 Disputes must remain confidential. Public complaints, including negative online reviews, may be subject to compensation claims.
15.2 If a dispute cannot be resolved, both parties agree to mediation by an independent arbitrator, with each party covering their own costs.
16. Other
You acknowledge that The Woodhouse Wollombi is a wedding venue located on the same property. Wedding-related noise may be heard and will end by 11:30 PM.
These Terms & Conditions are governed by the laws of NSW, Australia. Failure to enforce any provision does not constitute a waiver of that right.
Definitions
- Australian Consumer Law – Schedule 2 of the Competition and Consumer Act 2010.
- Booking – A reservation at Redwood Park, Wollombi.
- Booking Fee – The required deposit at the time of booking.
- Cancellation Fee – The applicable fees for cancellations.
- Claim – Any claim under statute, tort, contract, or negligence.
- Fee – Any fees associated with a booking.
- Force Majeure Event – Uncontrollable events (e.g., pandemics, government restrictions, extreme weather).
- We, Us, Our – Wollombi Barnstay Pty Ltd (ABN 20103015121), trading as The Woodhouse Wollombi and/or Redwood Park.
